Corporate Affairs Communications Administrator

This is an opportunity to provide trusted, professional and proactive support to the Corporate Affairs team and direct support for 2 Directors. This position is an integral role within the business area and will be accountable for an array of administrative tasks and supporting the team by contributing to key areas including Primark Cares, new stores opening programme, the Reputation programme, reporting and accounts.

Duties & Responsibilities:
  • Providing proactive administration support to the team and 2 Directors within the Corporate Affairs function.
  • Efficient diary management to ensure a controlled and manageable schedule of meetings.
  • Organising internal and external meetings ensuring preparation and circulation of relevant documents in advance.
  • Producing accurate and well-presented documents, reports and presentations.
  • Supporting the team with requested purchase orders are processed in accordance to company procedures heavily involved in the budget process.
  • Support the team to coordinate any invoice queries with Finance and Suppliers.
  • Supporting the External Communications team co-ordinating the corporate media hub interface with our in-market agencies.
  • Supporting the Internal Communications and Engagement team with key live events and virtual events throughout the year.
  • Supporting the team with key campaigns and our digital content on our internal app and our external channels including our website.
  • Overseeing and booking complex travel arrangements and accommodation requirements for Directors as required. Collating necessary travel documentation.
  • Handling all incoming calls appropriately, determine their priority and re-direct if appropriate.
  • Point of contact for internal and external queries and respond to queries as appropriate on behalf of the Directors.
  • Preparing and collating information for meetings to include agendas, presentations, reports, spread sheets, minutes and ensuring effective distribution and follow up of key actions from the meetings.
  • Supporting the team with administrative tasks including reporting, desk research and measurement.
  • Establish and manage paper and electronic filing system.
  • Processing expenses using the Concur system for the Directors in line with company policies.
  • General administrative duties.
  • Provide coverage for Personal Assistant within business area, where required.
  • Ad hoc projects/tasks as required.

Skills & Experience:
  • Excellent written and spoken communication skills.
  • Be an experienced Administrator with 2-3 years’ experience - ideally in a large, fast pace organisation or a smaller organisation where you were the “go to person” in a busy office environment
  • Ideally experience in a PR or Brand agency or an in-house PR, Internal Communications or Brand department.
  • A passion to develop and build a career in Corporate Affairs, PR and Communications also an advantage.
  • A genuine passion or interest in the retail industry a distinct advantage.
  • Proven ability to handle confidential information with discretion.
  • Ability to work under pressure and operate in a reactive environment.
  • Proficient in Microsoft Office Suite.
  • Attention to detail and accuracy are essential.
  • Strong interpersonal skills, discreet and trustworthy.
  • Should be proactive, diplomatic & trustworthy with a flexible approach to work.
  • Highly organised with an ability to handle a high volume of work and to prioritise accordingly.
  • Creative and independent thinker with an aptitude for coming up with fresh and innovative ideas and challenging and evolving ideas already in place.
  • Additional language(s) an advantage.
  • Willing and available to travel internationally.
