Role: Ethical Trade Administrator

Ethical Trade & Environmental Sustainability (ET/ES) Operations: We aim to deliver amazing fashion at amazing prices to Primark customers, whilst maintaining the highest levels of rigour, protecting the people who make our products, ensuring social, environmental and structural compliance. We operate as ‘one team’ with the rest of the business.

Purpose of role: Ensures 100% accuracy and consistency of data uploaded into the Ethical Database and the Post Audit Letters which are sent

Reports to: Ethical Trade Executive – Operations

Location: Peterborough

Key Responsibilities:
• Contributes to the implementation of Primark’s Ethical Strategy for its suppliers and factories
• Provides insights, advice and solutions direct from the supply base
• Helps to communicate the company’s ethical trading requirements through the supply base.
• Amending Site Status and links to suppliers as needed
• Key administration tasks may also be required as per the direction of the Managers and Executives in the team but will be kept in line with your current level of responsibility
• Update Primark systems and database as required by role
• Encourages cross team and cross functional interaction
• Provides support to suppliers, factories and workers to support them through the approval process and thereafter
• Effectively and efficiently help the team prioritise their work
• Check source documentations for accuracy in order of priority
• Product and check Post Audit Letters (PALS) to be sent to factories and supplier as required
• Prepare compile and sort electronic documents (audits) for uploading to the system in accordance with the team priorities
• If required, request further information for incomplete documents
• Upload documents and update records in the system
• Check completed work for accuracy

Knowledge & Experience:
• Experience in Ethical Trade or auditing process (desired)
• Factory audit and remediation process (e.g. SMETA, SA8000) (desired)
• Work accuracy and possesses a strong attention to detail
• Accurate keyboard skills and proven ability to enter data at the required speed
• Knowledge of clerical and administrative procedures
• Take ownership of tasks in a proactive manner
• Experience working in a team orientated, collaborative environment
• Compliance Administration (desirable)

• Able to cope with the complexity of Primark’s suppliers and factories
• Able to cope with the diversity of cultures across the Primark ET Field Team
• Appreciates the bigger picture of the audit programme and its link into Primark as a business
• Seeks opportunities for improvement / change
• Can communicate with internal and external stakeholders globally based in a professional way

Judgements & Decisions:
• Appreciates the trade offs involved in ethical trade programme of a global leader
• Acts as the interface between supplier, factory, worker, buyer and other stakeholders to support the business
• Acts with integrity and honesty and aligned with ABF’s ABC policy and Red Book requirements

Operational Responsibility
• Ensures integrity of audit management systems and database as relevant to countries in scope
• Comply with data integrity and security policies
• 100% accuracy and consistency of data uploaded into the Ethical Database
