Sourcing at Primark

Purpose of the Role:
To provide administrative support to the Sourcing team in achieving our objectives of Rationalisation, COO mix,
and Supplier Performance. You will also assist in the efficient coordination of daily activities, including travel arrangements,
expense management, diary scheduling, room bookings, and general administrative tasks for the China office.
Duties & Responsibilities:

What You’ll Do:
  • Engage with multiple stakeholders to ensure queries are resolved efficiently.
  • Provide general administrative support to sourcing team and China office.
  • Organize and schedule supplier meetings, workshops, and conferences as required.
  • Support the sourcing team in tracking and updating supplier and factory records.
  • Maintain accurate data entry and record-keeping to ensure information is up to date.
  • Support in sending and receiving samples.
  • Support in the review and storage of product samples.
  • Support in booking meeting rooms for the sourcing team and Primark visitors as required.
  • Keep meeting room booking and Primark visitors schedule document up to date.
  • Assist with visa processing for Primark visitors and suppliers as well as manage related documentation.
  • Assist with buyers to arrange their China trip as required.
  • Support in arranging airport and railway station transportations for Primark visitors in Shanghai.
  • Support in booking train tickets for Primark visitors travelling in China.
  • Support in organizing lunch when buyers having meetings in Shanghai office as required.
  • Process and manage expenses, ensuring compliance with company policies.

Knowledge & Personal skills:
  • Fluent oral and written Mandarin and English
  • Experience in an administrative role within a busy office environment.
  • IT literate and proficient in Microsoft Office, with strong Excel skills.
  • Excellent communication skills, both verbal and written.
  • Strong organisational and time management skills, with the ability to multitask effectively.
  • Attention to detail and accuracy in data management and documentation.
  • Ability to work independently and as part of a team.
  • Flexible and adaptable approach to work, able to meet tight deadlines.
  • Proactive problem-solving skills and the ability to take initiative.
