Environmental Sustainability Assistant

Role: Environmental Sustainability Assistant
Ethical Trade & Environmental Sustainability (ET/ES) Operations:We aim to deliver amazing fashion at amazing prices to Primark customers, whilst maintaining the highest levels of rigour, protecting the people who make our products, ensuring social, environmental and structural compliance. We operate as ‘one team’ with the rest of the business.
Purpose of role:Provides holistic administrative assistance to the Environmental Sustainability Team. Responsible for administration of environmental sustainability programme activities.
Reports to:Environmental Compliance & Reporting Executive
Key Responsibilities:
  • Manages day-to-day administrative activities for Environmental Sustainability Strategy and Programme
  • Assists with the on-going implementation of Primark’s Environmental Management System throughout the whole supply chain and operations
  • Actively supports Primark compliance and reporting programme

Programme Strategy
  • Adds creative support to development of Environmental Sustainability Strategy and Programme with Environmental Sustainability Managers

Monitoring
  • Manages all legal contracts, NDA’s and Anti-Bribery and Corruption with services providers and third parties
  • Monitors and communicates international and national regulation and industry developments regarding environmental sustainability
  • Assisting global team in providing support to suppliers
  • Administrative support for supplier environmental sustainability monitoring platforms: CleanChain and HIGG
  • Provide administrative support to all environmental sustainability initiatives

Solutions
  • Supports development of documents for standard operating procedures
  • Maintains documents in EMS Framework, in the shared system drive
  • Develops and manages content for email communications to stakeholders
  • Proactively calls and sets meetings with internal teams and suppliers
  • Enthusiastically assists with ad-hoc, high priority situations by gathering data, performing research or actively making calls to address issues
  • Proactively engages with Ethical Trade corporate and in-country teams
Presents innovative solutions to Leadership when identified

Team Management
  • Day-to-day assistance to Management for all team activities
  • Works closely with ABF/Primark legal team – providing content, support and monitoring progress
  • Works closely with ABF financial team – managing all invoices, payments, expenses
  • Maintain highest degree of integrity in all operations and at all times
  • Ensures compliance with ABF Red Book

Internal Engagement
  • Supports development and delivery of training and communications to internal teams
  • Supports maintenance of the EMS Manual, SOPs and Team Guidance resources
  • Provides maintenance support for the Guidelines for Buyers and Suppliers
  • Develop relationship with Primark Cares, Product Sustainability and B&M teams

External Stakeholder Engagement
  • Proactively supports engagement with industry organisations and partnerships
  • Administrative support of contractors and services providers management
  • Supports in developing and maintaining relationships with local and regional stakeholders including NGOs and relevant government bodies and work with them to identify emerging issues and opportunities for collaboration
  • Actively attend all calls and meetings on behalf of the team

Reporting & Data
  • Maintains a current database of environmental sustainability stakeholders and contacts
  • Helps to gather data for environmental sustainability reporting needs
  • Reports to team on calls, meetings, conferences and reports in a clear and concise manner, identifying opportunities for information to be captured in strategy or programme

Knowledge & Experience:
  • Experience in environmental sustainability
  • Excellent organisation and communications skills
  • Administration and reporting experience
  • Good IT skills (database management and reporting) Project management and leadership skills

Complexity & Creativity:
  • Ability to be flexible across scope and responsibilities
  • Works collaboratively to coordinate activities and seeks assistance and guidance where needed
  • Seeks opportunities for efficiency and improved support

Judgements & Decisions:
  • Appreciates importance of administrative activities for success in the programme strategy, exercises patience with career growth and identifies opportunities for continuous improvement that do not compromise current responsibilities

Operational Responsibility
  • Provide full support to environmental sustainability team to ensures effective development and implementation of environmental sustainability programme

  • Primark Employees, Global Ethical Trade Team, suppliers, factories and external stakeholders
  • ABF Communication, IT and CR teams
  • Testing labs and other services providers
Other
  • Good knowledge of global sustainability issues and trends and in-depth knowledge specifically of the European market in relation to sustainability
  • A passionate self-starter who is results driven in a fast paced environment
