Administrator 12 month FTC [Speak Up Policy]

Job title: P&C Administrator - 12 Month Fixed Term Contract
Reports to: Compliance Risk & Policy Lead 
Location: Reading

Purpose of the role:
As P&C Administrator you will provide administration support to the Compliance Risk & Policy Lead within the People Services function.  

Key responsibilities:
  • Administer and maintain the central Speak Up case management platform, ensuring all cases are logged, categorised, and updated accurately. 
  • Monitor case progress and ensure timely follow-up, escalation, and closure in line with internal SLAs and regulatory expectations. 
  • Coordinate with regional People Services teams to ensure consistent and compliant case handling across jurisdictions. 
  • Ensure all Speak Up cases are managed with the highest level of confidentiality, sensitivity, and professionalism. 
  • Support the triage process by reviewing initial case submissions and routing them to the appropriate stakeholders. 
  • Assist in the preparation of regular and ad hoc reports, dashboards, and insights for senior leadership, audit committees, and regulatory bodies. 
  • Maintain accurate and auditable records of all Speak Up cases and related documentation. 
  • Support internal and external audits by providing requested documentation and evidence in a timely manner. 
  • Contribute to risk assessments and compliance reviews related to Speak Up and ethical conduct. 
  • Support the review, development, and implementation of Speak Up and related compliance policies. 
  • Assist in the creation and maintenance of standard operating procedures (SOPs) for case management and reporting. 
  • Identify opportunities for process improvement and automation within the Speak Up workflow. 
  • Maintain training records and assist in tracking completion rates across the organisation. 
  • Support the development of communication materials to promote a speak-up culture. 
  • Act as a point of contact for internal stakeholders regarding Speak Up case status, process guidance, and system support. 
  • Collaborate with Legal, Internal Audit, and other relevant departments to ensure alignment on case handling and resolution. 
  • Provide administrative support for other compliance-related activities, including policy updates, risk registers, and governance documentation. 
  • Assist with data entry, document management, and reporting across the People Services function. 
  • Support the Compliance, Risk and Policy Lead with project coordination, meeting preparation, and follow-up actions. 
  • Manage the end-to-end administrative process for employee lifecycle events, including creating and posting new positions on Workday for vacancy advertisements, preparing tailored induction plans in collaboration with line managers. 
  • Accurately prepare and update payroll data, including leave-related adjustments, and maintain employee records in Workday. Respond to pay queries and support payroll calls as needed. Assist the P&C Business Partner with data preparation for the end-of-year performance cycle (Make Your Primark).

Skills and experience:
  • Experience using P&C Systems such as Workday is a distinct advantage 
  • Previous experience in a similar role is preferable 
  • Experience and competence with business software such as Microsoft Office Packages 
  • Ability to operate within a highly pressurized and fast paced environment and work on your own initiative 
  • Accuracy, attention to detail and a pro-active approach 
  • Excellent planning, organising and co-ordinating skills 
  • Excellent communication skills, both written and verbal, high level of energy and a positive can-do attitude 
  • Demonstrate excellent interpersonal skills 
  • P&C qualification desirable
